A front desk answers the same practical questions all day: when is my appointment, what should I bring, where do I park. This article gives you editable wording for those administrative questions. These templates are about organization only. They contain no medical advice, and clinical questions should always go to the qualified staff.
Appointment confirmation
Confirm the date, time and place, and say what to do if the patient cannot attend. Keep it short, because patients read these on a phone.
Hello [Name], This is a confirmation of your appointment on [Date] at [Time] at [Clinic name], [Address]. If you cannot attend, please let us know at least [24 hours] in advance by phone at 000-0000-0000, so that we can offer the time to someone else. We look forward to seeing you. [Clinic name] front desk
Opening hours and contact
Opening hours are the single most requested piece of information. Put the hours, the phone numbers and the holiday note in one snippet, and update that one snippet when anything changes.
Our opening hours are: Monday to Friday: [9:00 - 18:00] Saturday: [9:00 - 13:00] Sunday and public holidays: closed Phone: 000-0000-0000 Email: [clinic@example.com]
Documents to bring
Patients arrive better prepared when they know what to bring. List administrative items only, such as identification, insurance information and any forms you have asked them to complete, and leave out anything that could read as clinical instruction.
Hello [Name], For your visit on [Date], please bring: - A valid photo ID - Your insurance card or insurance details - The completed registration form: [Link or attachment] - Any referral letter or documents you were asked to bring Please arrive [10] minutes early so that we can complete the registration. If you have questions about the documents, call us at 000-0000-0000.
Parking and directions
You can find us at [Address], [floor / entrance]. Visitor parking is available in [location]. Please check the sign for parking fees and time limits. By public transport, the nearest stop is [Stop name], about [5] minutes on foot.
Using these safely
- Do not include medical advice, diagnosis, preparation instructions or results in any snippet. Those need a qualified person.
- Do not store patient names, identification numbers or health information in the snippet text; use placeholders and fill in only when sending.
- Check the wording against the rules for patient communication that apply to your clinic and your country, and have the owner or manager approve it.
What it saves
Suppose a small clinic desk handles 60 routine messages and calls a day, and 25 of them are about hours, documents or parking. At 30 seconds to type each answer versus 8 seconds to expand and adjust, the saving is roughly 9 minutes a day. That is not dramatic, but it gives the receptionist time for the patient standing in front of the desk, and it keeps the wording consistent between staff.
Practical tip: ask the clinic manager to approve this small set once. After that, every receptionist uses the approved text, and no one has to improvise sensitive wording at a busy moment.
