How to answer email faster

A practical routine of batching, classifying and templating that cuts email time without making replies feel automatic.

Deze pagina is machinevertaald uit het Engels. De Engelse en Koreaanse teksten zijn autoritair.

Email slows people down not because replies are hard to write, but because the work is scattered through the day. The fastest email workflows combine three things: handle messages in batches, decide quickly what kind of message it is, and use prepared wording for the common kinds. Snippets belong to the third part, but they work best when the first two are in place.

Batch instead of reacting

Checking email every few minutes means you re-read the same messages and lose focus on everything else. Choose two or three fixed times, for example mid-morning, after lunch and late afternoon, and process the inbox completely each time. Many people find that this alone cuts email time noticeably, even before any tools.

Classify in five seconds

When you open a message, decide which of four categories it is:

The first category is where templates help. Most routine replies are acknowledgments, confirmations, scheduling and standard answers.

Template the common replies

Hello [Name],

I would be glad to meet. I am available on:
- [Day, Time]
- [Day, Time]
- [Day, Time]

Please let me know which suits you, or suggest another time.

Kind regards,

Hello [Name],

Thank you, I have received the documents. I will review them and let you know by [Day] whether anything else is needed.

Kind regards,

Each of these takes 8 to 10 seconds including the edit, while writing the same by hand takes 40 or more. If you send 15 such replies a day, the difference is roughly 7 to 8 minutes.

Write replies that end the thread

The fastest email is the one that does not generate another email. End with a clear next step, a date or a yes/no question. "Please confirm by Friday" generates one reply. "Let me know your thoughts" can generate five. Build this into your templates once, so that you do not have to remember it every time.

Use the picker for the long tail

You will not remember every trigger. Press Ctrl+Shift+Space, type a word, press Enter. If your mail program is in front, the text goes straight into the reply.

Caution

Do not paste personal data, passwords or confidential figures into snippets; use placeholders and type the specifics when you send. And read each message fully before you expand a template. A fast wrong answer is slower than a slow right one, because you will have to write it twice.

Practical tip: write down the five emails you sent most often last week and turn exactly those into snippets. That targeted start beats building a general library you never use.
