First-contact and follow-up sales emails
Short, respectful sales email templates for first contact, follow-up after a meeting, and a gentle last reminder.

Most sales happen after the second or third message, but most people stop after one. The challenge is not that writing a follow-up is hard, it is that it feels like effort and gets postponed. Snippets remove that effort. The templates below are short, honest and easy to personalize.
First contact
A good first message is brief, relevant to the recipient and ends with a small, specific request. Spend your time on the first sentence, which should show that you know who you are writing to, and let the rest be standard.
Hello [Name], I noticed that [specific observation about their company or role]. At [Company], we help [type of customer] with [problem you solve]. Would a short call of 15 minutes on [day] or [day] be useful? If this is not relevant, please tell me and I will not contact you again. Kind regards, [Your name] 000-0000-0000
After a meeting or call
Send the summary within a day, while the conversation is fresh. Repeat what you agreed in two or three bullet points and name the next step with a date.
Hello [Name], Thank you for your time on [Day]. To summarize what we discussed: - [Point 1] - [Point 2] - Next step: [what, who, by when] I have attached [document]. If I missed anything, please let me know. Kind regards, [Your name]
Follow-up when there is no reply
People are busy. A short reminder after a few business days is not pushy. Add something new, such as a relevant detail or a simpler question, rather than just asking "did you see my message".
Hello [Name], I wanted to follow up on my message from [Date]. I know your inbox is probably full. In short: [one-sentence value]. Would it help if I sent a brief overview, or would another time suit you better? Kind regards, [Your name]
The polite last message
A closing message ends the thread respectfully. It also gets replies surprisingly often because it makes answering easy: yes, no or later.
Hello [Name], I have not heard back, so I assume the timing is not right. I will stop writing now. If this becomes relevant later, you are welcome to contact me at any time. All the best, [Your name]
What it saves
A salesperson sending 30 messages a day, of which 20 are templates, saves perhaps 40 seconds on each, about 13 minutes. The bigger effect is consistency: the follow-up actually gets sent, and each message contains the call to action.
Cautions
- Check the rules about unsolicited commercial email in your country and respect opt-out requests immediately.
- Always personalize the first line; a message that reads like a mass mailing is ignored.
- Do not make claims you cannot support, and do not store contact lists with personal data in snippets.
Practical tip: keep the snippets short enough to read on a phone without scrolling. If a template is longer than about 90 words, it is probably trying to do too much.
