Freelancer templates: quotes, contracts, delivery, revisions

Wording for quote requests, contract reminders, delivery messages and revision requests that keeps projects clear.

Tato stránka byla strojově přeložena z angličtiny. Anglické a korejské texty jsou autoritativní.

Freelancers are their own sales, project management and accounting departments, and the messages repeat constantly. Clear wording at four moments, quote, agreement, delivery and revision, prevents most client conflicts. These templates are plain communication wording, not legal text; for contract terms, use your own agreements and professional advice.

Replying to a quote request

A good quote reply asks the questions you need answered and says when the client will hear from you. It also states whether the quote is free, so there are no surprises later.

Příklad
/quote
Hello [Name],

Thank you for thinking of me for [Project]. To give you an accurate quote, I need a few details:
- What the end result should be and where it will be used
- Deadline
- Existing materials you can provide
- Number of revision rounds you expect

I will send a written quote within [2] business days after receiving this. The quote is [free of charge].

Kind regards,
[Your name]

Confirming the agreement

Before you start, summarize scope, price, deadline and payment terms in writing. A short recap prevents misunderstandings, and it is not a replacement for a contract if you need one.

Příklad
/scope
Hello [Name],

To confirm our agreement for [Project]:
- Scope: [Description]
- Price: [Amount] ([incl. / excl.] taxes)
- Deadline: [Date]
- Revisions included: [2] rounds
- Payment: [e.g. 50% before starting, 50% on delivery]

If this matches your understanding, please reply "confirmed" and I will start.

Delivery

Příklad
/deliver
Hello [Name],

The work for [Project] is ready. You can download the files here: [Link].

Please review it and send your feedback within [5] business days. Revisions within the agreed [2] rounds are included. After final approval, I will send the invoice.

Thank you for the collaboration.

Revision requests and scope changes

Revision rounds are where projects drift. A friendly but firm message that separates a change inside the scope from a new request protects your time and keeps the relationship intact.

Příklad
/revise
Hello [Name],

Thank you for your feedback. I understand the following changes:
- [Change 1]
- [Change 2]

These are within the agreed revisions, and I will send the updated version by [Date]. The additional point [Request] goes beyond the original scope. I can handle it as a separate item for [Amount / estimated hours], if you would like.

What it saves

Say you exchange 15 project messages on a normal day and 8 of them fit these four templates. At about 60 seconds each to write from scratch and 15 to adapt, you save roughly 6 minutes a day. The bigger value is that you never forget the sentence that matters, such as the revision limit or the payment terms.

Cautions

Practical tip: write the invoice reminder tone you are comfortable with now, while calm. It is much easier to be polite in a snippet than in the moment an invoice is three weeks late.
