Keep your snippets organized with folders
A simple folder structure and naming habits that keep a growing snippet library searchable and easy to maintain.

A snippet library starts with five items and, if it is useful, grows to fifty or a few hundred. The risk is not that it becomes too large, but that you can no longer find what you wrote or tell which version is current. Folders, managed on the website after you log in, prevent that. This article suggests a structure that scales.
Organize by situation, not by type
There are two natural ways to group snippets: by what they are (greetings, signatures, templates) or by where you use them (customer support, sales, internal). The second works better, because when you need a snippet you are in a situation, not looking at a category of text. Start with four to six folders named after your recurring situations.
- Support: delays, returns, apologies, thank-yous.
- Sales: introductions, follow-ups, quotes.
- Admin: invoices, scheduling, internal notices.
- Personal: address, signature, phone block.
- Misc: only for things you have not yet sorted. Empty it once a month.
Name folders and triggers together
Folders and triggers should agree with each other. If the folder is called Support and the triggers inside all start with /s-, you can recognize a snippet's home just from its trigger. For example /s-delay, /s-return and /s-sorry belong to Support, while /q-intro and /q-follow belong to Sales. You can also search by these prefixes in the picker.
Hello [Name], Your order [Order no.] is delayed. We expect to ship on [Date]. We apologize for the inconvenience.
Hello [Name], I wanted to follow up on the quote I sent on [Date]. Do you have any questions I can help with?
Keep one version of each text
The most common maintenance problem is having three slightly different "thank you" snippets and not knowing which one is current. Whenever you improve the text, change the existing snippet instead of creating a copy. If you do need two variants, such as formal and informal, name them clearly: /thanks and /thanksf.
A monthly ten-minute review
- Delete snippets you have not used in months.
- Move anything from Misc to the right folder.
- Check that dates, prices and hours are still current.
- Export your library as JSON or CSV for a backup copy.
Folders and several PCs
Because linked PCs sync automatically, the folder structure follows you. If you use Pine Shortcut at the office and at home, you only organize once. This is also a reason to be disciplined: a mess made on one PC appears on the other.
Practical tip: do not create a folder until you have at least three snippets for it. A folder with one snippet is clutter. Start flat, and add folders when you notice yourself scrolling.
